Position Title

   Youth and Family Services Business Manager

Description

    The Youth and Family Services Business Manager and Integration Coordinator
    supports the business operations of the YFS Division and manages integration
    activities. This position is responsible for supporting medical billing and insurance,    
    reception, client appointments (reminders and scheduling) Electronic Medical
    Records (EMR), and office supplies. In addition they will manage the integration of
    primary care and behavioral health in our work. The manager is responsible for all 3
    offices and assures that quality, performance and productivity standards are
    supported and maintained.

Responsibilities

    A. Billing and Insurance
        1. Supervise the medical biller to ensure accurate, documented billing for all
        services, manage client accounts and resolve billing issues promptly.
        2. Manage write-offs
        3. Manages and reviews account receivables and payables to ensure high
        collection and low error rates.
        4. Create and implement a process and system for ensuring that clinical staff
        complete and submit all required elements of treatment (e.g., Developmental
        Assessments, Intake/Assessments, Treatment Reviews, COBs, and
        Terminations).
        5. Reconcile all remittances against services
        6. Work collaboratively with the agency accounting team.

    B. Administrative
        1. Monitor and improve client experience issues; handle and appropriately report
        and track grievances.
        2. Ensures all required background checks for YFS staff are conducted and
        up-to-date at all times.
        3. Actively participate in departmental new employee orientation and training for
        all YFS staff.
        4. Maintain and update files for licensing, contracts and other requirements.
        5. Maintain and update forms for programs as needed.
        6. Maintain and update office files, both open and closed, hard copy or
        electronic.
        7. Coordinate the ordering of supplies and forms for Issaquah, North Bend and
        Duvall offices.
        8. Coordinate emergency preparedness activities for YFS division.

    C. Reporting and PQI
        1. Responsible for specific data entry and oversee collection in preparation and
        prepare reports.
        2. Lead role in Program Quality Improvement (PQI)
        3. Special projects as assigned
        4. Credible EMR related projects as assigned

    D. Integration Support
        1. Develop and maintain client registries as identified, and participate in the
        development and maintenance of client registries that may be shared with
        primary care providers.
        2. May conduct basic health assessments (i.e., weight, BMI).
        3. Create positive working relationships with community partners including
        primary care providers.

    E. Office Support
        1. Provide administrative support to Director.
        2. Supervises billing and front desk/reception staff.
        3. Orient new staff to phone system, copy machine, fax machine, as well as
        office computers and software.
        4. Determine and justify needs for systems, equipment, supplies, purchases,
        and monitors usage; oversees proper working order and/or stock supplies for
        all locations.
        5. Perform other duties or tasks as assigned by Program Director.

Required Skills and Qualifications

    A. Education and Experience
        1. Training and experience in administrative support; BA required
        2. 5 years of supervisor experience required
        3. 2 years office manager experience preferred.
        4. Demonstrated computer competency with Electronic Medical or Healthcare
        Records (EMR/EHR), Excel and/or other database programs and MS Word.
        5. Employees and volunteers who operate their own or Friends of Youth vehicles
        on Friends of Youth business must have a safe driving record as defined by
        Friends of Youth. Employees and volunteers who operate their own vehicle(s) on
        Friends of Youth business must carry auto liability insurance that complies with
        the requirements of Friends of Youth.
        6. Able to engage with diverse populations in a culturally responsive manner.

    A. Knowledge, Skills, Abilities
        1. Well organized and the ability to work independently with attention to detail,
        and ability to multi-task.
        2. Must be friendly, personable and have knowledge of and commitment to the    
        program.
        3. Excellent and effective written and oral communication skills.
        4. Knowledge of and experience with conflict resolution.
        5. Demonstrate a commitment to the values of equity and inclusion by honoring
        and celebrating diverse characteristics and expressions of personal identity.

    Full Time

Salary

   $56,000 - 58,000 DOE
