Position Title

    Program Assistant, Residential Treatment Services

Description

    The Program Assistant provides support services to Residential Treatment Services
    programs and direct support to the Division Director. This includes managing an
    office which supports full time staff, a relief and volunteer staff, maintenance staff,
    and two on-campus school programs. Support services may include computer filing,
    updating and revising policies/procedures for compliance with COA, licensing
    WACS, contracts, and grants, compilation of statistical data, reception and referral,
    and additional projects as requested by Director, Administrative Manager and the
    Program Managers.

Responsibilities

    A. Word Processing:
        1. Responsible for correspondence, forms and special projects.
        2. Assist Griffin Home staff with computer training.
        3. Maintain computer files and back-up disks.
        4. Working knowledge of Microsoft Suites.
        5. Maintain Sharepoint and Youthforce site for program use.
        6. On an ongoing basis, evaluate capabilities of computer software and offer
        suggestions to improve to increase office efficiency.
        7. Maintain Emergency Preparedness supplies expiration dates and attend
        community meetings.

    B. Compilation of Statistical Data:
        1. Responsible for data collection and billing reports for Foster Care, Matsen,
        McEachern, and Colin-Ferguson.
        2. Oversee collection of and prepare reports for Foster Care and Griffin Home
        Programs:
            • Continuous Quality Improvement tracking and meeting organization.
            • Maintain monthly client census and ongoing resident list.
            • United Way Data Collection (i.e., fiscal year reports, quarterly reports, and
            calendar year reports)
            • Outcome Monitoring: 6 month and 12 month
            • DSHS Child Health and Safety Interview forms
            • United Way Outcome Evaluations
            • Prescription Medication Log tracking
            • Performance Indicator tracking (compile monthly, quarterly, and yearly)

    C. Office Management
        1. Maintain and update files for licensing, contracts, and program forms
        2. Maintain intake forms for programs
        3. Maintain Program Policies and Procedures
        4. Maintain closed files for client charts
        5. Order and stock office supplies.
        6. Assist staff with office machines (fax machine, copy machine, phone system,
        and all computers in administrative office).
        7. Maintain and update phone system on a continuous basis in addition to
        electronic voice mail box modifications/changes for new and current employees.

    D. Additional Job Duties:
        1. Transcribe dictation for psychiatric consultant serving Foster Care and Griffin
        Home Programs.
        2. Sort and distribute mail on a daily basis in accordance with fiscal policies.
        3. Orient new staff to phone system, copy machine, fax machine, as well as
        office computers and software.
        4. Assist Administrative Manager, Foster Care Program Manager, and Program
        Managers on various items, including projects, statistical information, etc.
        5. Perform other duties or tasks as assigned by supervisor.
        6. Represent GH on the Emergency/Disaster Preparedness Committee.
        7. Manage the DCS capacity/census daily report on DCS UAC Portal.

Required Skills and Qualifications

    A. Education and Experience
        1. BA Degree in related field or year of equivalent experience.
        2. Experience in office management.
        3. Experience with multi-line telephone system and automated voice mail system.
        4. Experience with computers, computer software, fax machines, and copy
        machines.
        5. Employees and volunteers who operate their own or Friends of Youth vehicles
        on Friends of Youth business must have a safe driving record as defined by
        Friends of Youth. Employees and volunteers who operate their own vehicle(s) on
        Friends of Youth business must carry auto liability insurance that complies with
        the requirements of Friends of Youth.

    B. Knowledge, Skills and Abilities
        1. An ability to engage with diverse populations in a culturally responsive manner.
        2. Demonstrate a commitment to the values of equity and inclusion by honoring
        and celebrating diverse characteristics and expressions of personal identity.
        3. Working knowledge of Microsoft Suites (Word, Excel, Publisher, Power Point,
        Access, Outlook)
        4. Skilled in data collection and reporting techniques.
        5. Capability to organize multiple tasks.
        6. Appropriate interpersonal skills.
