Position Title

  Office Coordinator

Description

    This position will provide clerical and administrative support for the WISe/
    Wraparound Program. All activities are conducted in compliance with Friends of
    Youth’s accreditation standards (COA). The Office Coordinator Specialist is
    responsible for hiring qualified employees who reflect the diversity of the
    community, and support the values and goals of Friends of Youth. The person in
    this role oversees the hiring process including identifying the ideal candidate,
    advertising, recruitment, application and resume screening, phone screening,
    interviewing, background and reference checking and pre-employment assessments.   

Responsibilities

    A. Program Support/Reception
        1. Routinely answer all phone calls and greet visitors, clients, etc., and assist
        them.
        2. Respond to individuals or groups desiring information about Friends of Youth
        programs, taking messages, and routing when appropriate.
        3. Responsible for outgoing phone message changes: holiday closures, special
        staff meeetings/retreat closures.
        4. Maintain office, including ordering supplies and calling for service when
        necessary.
        5. Ensure the entire office building is clean, organized, and tidy.
        6. Sort and distribute mail to appropriate Friends of Youth staff.
        7. Process incoming and outgoing faxes.
        8. Complete other general office duties as required by Youth and Family Services
        staff.

    B. Recruiting and Hiring
        1. Work with hiring staff to assess needs and develop creative sourcing and
        recruiting plans that will attract desired candidates.
        2. Conduct resume and application screening systems. Develop and conduct
        effective telephone screening questions. Use interviewing techniques to
        determine knowledge, skills and qualifications of candidates. Refer candidates
        most closely meeting job requirements to hiring staff and assist in coordinating
        further interviewing. Continue to oversee the hiring process through candidate
        selection, reference checking process, job offer processing, and pre-employment
        background checking.
        3. Keep confidential, organized and accurate files that include resumes,
        employment application, interview notes, reference checks and background
        check information.
        4. Maintain accurate files documenting the complete hiring process.
        5. Ensure a positive candidate experience throughout the recruiting process.

    C.  Other Duties
        1. Special projects as assigned.

Required Skills and Qualifications

    A.  Education and Experience
        1. Bachelor's degree in business, human resources or other related field preferred.
        2. Three years direct experience in recruitment and selection activities. 
        3. Thorough knowledge of laws and regulations affecting employment.
        4. Experience in word processing, database, and spreadsheet programs,
        preferably MS Office Software. 

    B. Knowledge, Skills and Abilities
        1. Excellent organizational skills, writing skills and project management ability.
        2. Able to hold sensitive information in complete confidence.
        3. Must be organized, detailed and thorough, with the ability to multi-task in a
        fast-paced environment with a minimum of instruction.
        4. Ability to develop collaborative relationships with hiring staff.
        5. Demonstrated interviewing skills and advanced knowledge of generally
        accepted employment practices and related laws.
         6. Employees and volunteers who operate their own or Friends of Youth
        vehicles on  Friends of Youth business must have a safe driving record as
        defined by Friends of Youth. Employees and volunteers who operate their own
        vehicle(s) on Friends of Youth business must carry liability insurance that
        complies with the requirements of Friends of Youth.
        7. Demonstrate a commitment to the mission and vision of Friends of Youth.
        8. An ability to engage with diverse populations in a culturally responsive
        manner.
        9. Demonstrate a commitment to the values of equity and inclusion by honoring
        and celebrating diverse characteristics and expressions of personal identity.

Hours

    Full Time

Salary

      $37,000 - 40,000 / year
