Position Title

    Special Events Coordinator

Description

    The Special Events Coordinator, in partnership with the Development Director, is
    responsible for the planning, coordination and execution of all fundraising and
    awareness raising events for the Friends of Youth.

Responsibilities

    A. Event Planning and Support
        1. Work closely with the Development Director to design, manage, and execute
        all agency events. This includes current events such as Celebration of Youth,
        Lunch and Learns, Foundation Legacy Event, YFS breakfast events and House
        Parties.
        2. Coordinate all details of event including working with the team to create an
        event timeline, theme, target attendance and event goals.
        3. Takes the lead on researching event sites and assisting in final selection,
        and may serve as the primary contact for event venues on the day of an event
        as well as the time leading up to the event.
        4. Assist with event budget creation, and identifying and securing (with
        assistance) the following: catering, decorations, collateral, print production,
        procurement, prize acquisition, and other items as required.
        5. Ensures that all messaging, branding and materials for each event are
        consistent with our brand identity.
        6. Responsible for creating and maintaining an event handbook. The handbook
        will includes best practices for fundraisers. The Handbook will also include
        preferred vendor and venue contact lists.
        7. Develop relationships with vendors, for catering, banquet rooms, entertainment,
        audio/visual, photography, invitations, etc. to ensure high quality events that are
        cost efficient.
        8. Coordinate all invitation production, mailing lists, mailings, response tracking
        and coordinate the flow of information regarding events within donor database.
        9. Work closely with Volunteer Coordinator to enlist, assign and oversee
        volunteers for event planning, preparation, actual event and event wrap-up.
        10. Research and help to secure sponsorships and in-kind donations for events.
        11. Completes an event report for each event, using the approved event
        report template.

Required Skills and Qualifications

    A. Education and Experience
        1. Bachelor's Degree required.
        2. Three to five years’ related experience.
        3. Experience using PowerPoint, Excel, Word, and Raiser’s Edge database
        software.
        4. Experience planning fundraising events.
        5. Valid Washington State driver's license, car insurance and reliable vehicle.
        6. Employees and volunteers who operate their own or Friends of Youth vehicles
        on Friends of Youth business must have a safe driving record as defined by
        Friends of Youth. Employees and volunteers who operate their own vehicle(s)
        on Friends of Youth business must carry auto liability insurance that complies
        with the requirements of Friends of Youth.
        7. Able to engage with diverse populations in a culturally responsive manner.

    B. Knowledge, Skills and Abilities
        1. Commitment to Friends of Youth mission.
        2. Excellent written and verbal communication skills.
        3. Strong organizational skills including logistical coordination. Ability to
        prioritize, manage multiple tasks, and meet deadlines in a fast-paced
        environment, team player within a diverse working environment.
        4. Effective interpersonal communication skills and the ability to encourage
        teamwork. Ability to manage large numbers of volunteers at different levels of
        expertise with diplomacy. Multicultural sensitivity and ability to work effectively
        with diverse community members.
        5. Ability to act quickly to resolve problems and the ability to negotiate with
        vendors for most favorable terms. Relevant fields include event management,    
        fundraising, and community engagement.
        6. Willingness to work evening and weekend hours when needed.
        7. Ability and willingness to travel locally up to 25% each week, or as required to
        meet the needs of the job.
        8. Committed to learning and implementing relevant COA standards and
        participating in our Performance and Quality Improvement process.
        9. Demonstrate a commitment to the values of equity and inclusion by honoring
